Law Technology News — Tool Talk: E-Mail Conversion

Until business applications become more unified, perhaps even homogenous, lawyers will continue to need software to view client files in multiple formats and convert files to usable formats depending on the need, e.g., e-discovery or trial presentation. I was recently introduced to an e-mail migration application that is found in the tool kits of many e-discovery professionals, but one that has not been the talk of the town: Transend Migrator Forensic Edition.

Transend Migrator Forensic Edition is a Microsoft Windows utility that converts e-mail data between most e-mail systems and client software, including those in demand by e-discovery professionals, Microsoft Exchange, and Outlook, IBM Lotus Domino and Notes, as well as Novell Groupwise. It will even convert cloud-based e-mail, e.g., a MAPI (Read: Hotmail) or IMAP (Read: Gmail) message store into a local message format for review.

To convert e-mail to different message formats in the old days, I used a product from Binary Tree, back when they supported Novell Groupwise. Those were the days when we first put everything into Groupwise, then we later took it out. But that’s another story more fit for an epitaph than a news story on Migrator Forensic Edition, which was upgraded to version 10 earlier this year.

Transend Migrator version 10 supports e-mail migrations using multiple message formats and in batch modes from a graphical user interface, as opposed to the command-line batch migrations available in version 9. Although you can still migrate e-mail from Transend’s command line, save your memory for scripting tools like Perl and PHP. The GUI is very easy to use. See Figure 1.

Figure 1: I converted a Thunderbird Mail profile to an Outlook PST file, which included the migration of an address book to my Outlook Contacts. When I was done with the conversion, Transend’s tool asked me if I wanted to save the configuration for reuse.

Version 10 also supports the migration of recurring events in calendars rather than converting them to single events in a new mail format. The GUI also makes it easier to schedule migrations and reuse batch migrations as templates. So once you go to the pain of setting up variables or importing them from a .csv file, you can save and reuse your work.

For e-discovery professionals, Transend Migrator Forensic Edition de-duplicates converted messages using an MD5 hash algorithm and can do an initial search of messages and attachments to cull and convert only those items that match defined search terms. The migrator automatically determines the character set (read: language translation) necessary for conversion and produces enhanced reports and logs in XML and HTML for due diligence and compliance.

With all the above, it’s no small wonder why you find Access Data, Applied Discovery, Clearwell Systems, EMC, FTI Consulting, Kroll Ontrack, LexisNexis, and Merrill Corp. among Transend’s client base. But it’s a big wonder why none of them talk about Transend Migrator as the essential tool they use for e-mail migration.
